"No" Letter - Bad News Letter

You are the customer service manager for a credit card company. A customer, Mr. Browning, has written to complain that the interest rates on his credit card rose from 6.5 percent to 12 percent after one year.

The contract that the customer signed when getting the card clearly stated-in the fine print that is always on the back of such contracts-that interest rates would automatically rise after the first year. The contract does not specifically state by how much the rate would rise after the first year; instead, the contract states that the rate will rise by "no more than three points above the prime lending rate." At the time of Mr. Browning's rate increase, the prime rate was 10 percent.

Write a "bad news" letter in which you explain the logic of the increase to Mr. Browning. You must appease the customer as much as possible. At the same time, you must hold him to the wording of his contract. Remember that, in this case, the customer is bound to the contract he signed. Your company is not in the wrong. However, you do not want to lose his business.

Enclose a copy of his contract.
