XYZ's Inc. Scheduling System

  • Started in Jacksonville, Indiana in 1983 at Mick's Lounge, where Papa John, John Schnatter, started a pizza delivery business within his father's pool hall

Restaurant Scheduling Under Study

  • Schedules are created by the Friday before the scheduled week. Schedules run from Monday to Sunday
  • Employees write down their requested days off. These requests are processed when the manager has time to address the schedule
  • Standards are in place that require 2 weeks notice, that a limited number of employees may request off, and that requests may not be granted
  • Employee availability is established at hiring. This can change through informal requests
  • Scheduling can be a lengthy process, but the loose control of standards can make it grueling

Why this?

  • Although there are tools that provide scheduling assistance, there is no formal system for establishing availabilities and requested days off
  • Current scheduling tool is unreliable
  • This unorganized system causes much stress and strain on management and employees
  • The proposed system can save management time and hassel.
  • Employees will gain a structured and fair way to request days off and change availability
  • The extra structure will also help management determine where they have holes in the schedule and employment needs

Problems with the Current System

  • Requested days off can be lost
  • Requests are turned in late, but claim to have been turned in at an earlier time
  • Availability changes are not always documented and can change at a moments notice
  • No documentation of availabilities makes employment decisions difficult
  • Changes in requested days off and availabilities cause chaos when schedules are made.

Proposed System Objectives, Features, and Restraints

  • Shift requirements can be saved for each day, and automatically scheduled by the system
  • Labor dollars may be allocated per shift in order to maintain labor standards
  • Documentation and editing of each employee's position and availability will be used to determine shifts
  • Days off will be requested through the system and prioritized by the system
  • The system will automatically print the schedule at close on Thursday night, to be ready Friday morning
  • The system will identify holes in the schedule and print this with the schedule allowing management insight as to employment needs
  • A priority system will be implemented for scheduling hours based a ranking system
  • All priorities and requirements will be adjustable by management
