Tools are important and they can stimulate and improve knowledge and decision making. With that being said, putting forth time and thought processing in defining these tools can help in gaining and understanding of the projects purpose as well as strategy planning.

These days the health care delivery system depends on the use of the electronic health information systems, and the efficiency of the Information System depends on the quality of data collected and recorded, and have it available when needed. It is important when talking about information systems or when working in a specific project, to meet with your team, and analyze the characteristics of data to be collected, and decide what the most appropriate tools are required to get the data. The data collected with the tools selected, should be a quality data and to ensure the useful and accurate performance information is gathered, valid and reliable data source must be identified. Valid data source is considered when it contains accurate and correct information, that comply with the necessary elements to perform a measurement of specific values. Data collected should be reliable and its characteristic is that consistently contains accurate and correct information to perform a measurement. There is a wide variety of data collecting tools; there are computerized databases and handwriting documents. The most popular are: administrative files, medical records, clinical information, miscellaneous business forms, also can be use the box and whisker plot, check sheet, control chart, design of experiments, histogram, scatter diagram, stratification, and surveys. Depending of the analysis and characteristics of the project, the team has to select the best data collection tools that fit best their requirements.

It is important to define, scope, set goals, and measure the success of a project because it helps eliminate mistakes. Mistakes can become catastrophic to any project. Performance improvement projects are created to improve a current situation within the organization. Why jeopardize the success of this improvement before the implementation begins? By defining the performance improvement project, the management team can determine what needs improving. This is the same for the scope of the project, meaning the outlook or anticipated expectations. Once the project is outlined the management team can then set goals for the implementation of the project and for future plans. It is important to anticipate what the organization needs and what is expected from the improvement project. Obviously, the management team feels there are areas that need improvement, but by taking on one project at a time the organization can implement a positive change. Measuring the success of the performance improvement project is very important because it helps determine the anticipated success of the implementation and how it will affect everyone involved. The management team wants to improve not weaken performance standards; therefore, the organization should take certain steps to ensure success of the project (Healthfield, 2014).

One of the fundamental characteristics in making a strategic management plan is that the goal has to be specific, measurable, achievable, relevant, and time-bound. When embarking on a performance improvement plan is fundamental the observation, and measurement of the actual process, and determine how is working now, if the process meet the expectations, if not proceed to make a scope of the problem. With the participation of the performance improvement team, it has to be defined the improvement goal, based in the current practices, management and the improvement team members will start working on designing and implement improvements . The next important step is to measure the process success, to see if the implemented improvements met the expectations, and will achieve our goal. The new changes in the health care organization cannot be made it all the same time, the implementation team should act gradually, and apply the performance improvements steps once again, if there are some parts where the performance improvement project is not working, then look for alternatives and make all the necessary corrections, and measure the process success again, and test it again, if our goal and expectations are achieve, then go-live to the entire organization. The importance of following these steps when making a performance improvement project is the success
