SCENARIO

You work for an organisation called "Mega Entertainment" in a first line management role. Mega Entertainment is a lead player in the New Zealand music industry.

Mega Entertainment sources, manages and promotes New Zealand musicians from a wide variety of musical genres (country, pop, hip-hop, classical). Artists include soloists and groups, some professional, some amateur.

In your role, you lead a team of three people who are responsible for various aspects of the management of a group of 6 professional artists. Read about each of your team members.

PART A

It is time for you to get started organising the event outlined in the scenario above.

The first thing you will need to do is to create the objectives for the event. Your objectives must be SMART - specific, measurable, attainable, realistic and timely.

You are required to create at least two objectives for each area of the event that must be considered - remember the chief executive told you to consider the weather and other external and internal environmental factors when organising the event including but not limited to: - venue, catering, bar, parking, entry, transport, staging, health and safety, sanitation (toilets), insurance and marketing and promotion.

Check the Scenario Outline again to make sure you are considering all that he has asked and that your objectives align with the organizational objectives.

PART B WORD COUNT: 1100 WORDS

1. Once you have completed Part A above, you will now need to create a work plan to help you achieve your team's objectives (no more than 700 words) which includes:

- a breakdown of tasks
- allocation of roles and responsibilities (including who will be responsible for monitoring and updating the plan)
- timeframes for achieving tasks
- risks that may impact on the achievement of your team's objectives and the event
- constraints that may impact the achievement of your team's objectives and the event
- contingencies for dealing with risk
- brief information on task completion and how you will know that all tasks are complete

2. You are now in the final stage of organising the event, there is only one week to go and you discover: -

a) There is a storm coming that could threaten the safety and structural integrity of the marquee and the stage, let alone the health and safety of the guests and the event itself.

b) There is trouble in the team - Ray does not like the way in which Daniel is critiquing his work, Katie has paper everywhere and cannot tell you whether or not you are on budget, and Daniel appears to have rather expensive ideas for promoting and marketing. At the moment, Ray isn't talking with Daniel, and Katie is moody and sulky as you have reprimanded her for the current state of affairs. Team culture, cohesiveness, communication and collaboration is severely impacted.

c) There has been a disaster - the refreshments caravan has been involved in a car accident and is destroyed. The business owner is trying to source a new caravan but what contingency steps will you take to prepare if one cannot be found?

You will also need to write a 400-word report to the Chief Executive that describes how you will deal with the following issues that have arisen after creation of your work plan and objectives.

Included in your report, you will need to describe:
- At least three amendments that will need to be made to your original work plan and
- At least three amendments that will need to be made to your objectives

You will need to describe at least four suitable techniques you will use to promote an inclusive, positive and productive working environment given the issues you face. How will you get your team members and the project back on track?
