QUESTION:

How can an Human Resources system help with recruiting? How might a system get in the way? (how HR can supports employee selection?

How HR system can get in the way (of something) meaning to prevent something from happening for example Anger often gets in the way of understanding a situation).

Human resources information system (HRIS) helps keep track of all employees and their information. It is stored in a database or, more often, in a series of inter-related databases. According to Turban, Vololino, and Wood (2013), "it provides a company's HR department with powerful software solutions that reduce the manual workload necessary for HR administration."

HRIS system includes employee name and other contact information. The following data is also in the HRIS system; their job title, grade, department, salary, supervisor, position history, training completion, individual qualification, ethnicity, date of birth, disabilities, and more.

With the healthy development of computer and software system and with new advances in microchips, it made possible to store large quantities of data on personnel computers and can perform statistical analysis that was once only possible with large mainframe computers. A Human resource information system (HRIS) is a system which allows acquiring, store, manipulate, retrieve, analyze and distribute information related to company's human resources. Also, when discussing manager's perspective, it can be used to support strategic decision making, to avoid litigation, to evaluate program or policies, or to support daily operating concerns. "In adopting HRIS, the following are issues that needed to be addressed:

-What type and size of HRIS should be selected?

-Careful need assessment.

-To develop software or to buy and use the shelf software.

-Should the HRIS execute in total or in stages?

"HRIS is an information system that utilized computers, monitors control and influences the movement of a human being from the time they indicate their attention to join an organization till they separate from it after joining" (Whatishumanresource.com, n.d.). The sub-systems for HRIS are:

Recruitment information: It includes general requirement and training requirement data.

Manpower planning information: It seeks to provide information that could assist human resources mobilization, career planning, success planning and finally input for skill development.

Personnel information: It includes employee or worker information like transfer monitoring, and increment and promotion details.

Training information: It provides modules or designed training material for training purpose.

Health information system: This system contains information for maintenance of health-related activities of the employee.

Appraisal information: It deals with the performance evaluation and merit rating information which serves as input for promotion, increment, and career planning.

Payroll systems: It involves of information concerning wages, salaries, incentives, allowance, perquisite deduction for provident fund, also data on compensation pattern of competitor also included in it. Personnel statistics system: It is a bank of historical and current data used for various type of analysis.

If the organization is extremely large or corporate type HRIS, it is mandatory to include carrying significant data of employees. With the help of computerization personnel information system, employer record and file can be integrated and retrieved for cross-referencing and forecasting. The system should be oriented towards decision-making rather than towards record keeping. The following are advantages of HRIS system:

- It helps in reduction in amount and cost of stored human resource data.

- Meaningful career planning and counseling at various stages.

- Precise definitions of goal

- Development of performance standard for the human resource division.

- Individual development through linkage between performance reward and job training.

- High capability to quickly and efficiently solve problems

-Designing or implementing the training programs as per organization needs.

- It also helps to provide good strategic planning.
