For this assessment you are going to develop, implement and evaluate an operational plan. 

The purpose of this plan will be to improve operational efficiency in the workplace.

You can base your plan on your current workplace, a previous workplace or a workplace that you are familiar with. 

Think about this workplace and pick an operational process or system that needs improving.  Think about any problems or issues that you have observed or experienced and then think about what you would do to fix this problem or issue.  Your aim is to make the business operate better and more efficiently.

  • For example you may have identified that there is an issue with the stock ordering process. The problem is that you are continuously running out of ingredients when you are doing your prep for functions. So you decide the best way to fix this problem is to develop and implement a stock control and stock ordering procedure. Now you will make an operational plan to help you do this.
  • Another example may be that you have identified that the POS system your workplace is using is old and dated. The issues that this causes include increased customer wait times when making payment, manually entering prices increasing the chances of errors, it is time consuming to produce the end of day report and stock control is also time consuming as it all has to be done manually. So you decide to develop, implement and evaluate an operational plan to upgrade the POS system.

Other examples include;

  • Develop either front of house, kitchen or bar area workflow plans
  • Plan and implement a new menu
  • Develop a cleaning checklist
  • Develop a staff induction training plan
  • Develop a hygiene policy and procedure
  • Develop a formal daily recording of fridge and freezer temperature procedure

These are just ideas, the possibilities are endless.  Now you will need to brainstorm your ideas and see what you come up with.  You MUST discuss your favourite idea with your trainer before you start so as to ensure that it is suitable.

There are 2 parts to this assessment;

1. Case study (1-2 pages) You must include the following;

1.1. Background and type of establishment

1.2. Location of the establishment

1.3. Hours of operation

1.4. Number of employees in each department

1.5. Number of covers for breakfast, lunch & dinner daily

1.6. Type of food, beverage & service style(s)

1.7. Detailed description of what the operational issue is at the establishment

1.8. Detailed description of the strategy you will undertake to improve the operational process

2. Operational Plan (3000 words +/-10%)  Use each of the following headings in your report

2.1. Aim of operational plan

  • What do you hope to achieve?

2.2. Overview

  • Brief overview of the current system or process or lack of it.

2.3. Advantages of introducing change

  • 'Sell' your idea.

2.4. Stakeholders

  • Who are the stakeholders? How and when are you going to communicate and consult with them about the plan?

2.5. Approval process

  • Who needs to approve the plan? Describe the process that needs to be followed to get approval for the plan to go ahead?

2.6. Physical resources

  • Explain how you are going to ensure that all physical resources are acquired according to company policy.

2.7. Labour requirements

  • Detail the labour requirements of the plan. Ensure you describe the strategy for recruiting, inducting, mentoring and coaching staff so as to ensure that they are able to safely use the resources.

2.8. Intellectual property rights

  • Explain how intellectual property rights could relate to the recruitment of staff and acquisition of resources.

2.9. Operational plan activities

What needs to be done in order to implement your operational plan?  What are the activities or steps involved?  You will need to complete the details of each activity in the operational plan activities template found on page 6.  Copy and paste this template as many times as you need.  You will need to complete one template per activity. Ask yourself the following questions for each activity;

  • What would need to be done
  • Why it would be done
  • How it would be done
  • When it would be done
  • Who would do it

Now you have to pretend that your operational plan has been implemented and now it is time to see what went well and what could be improved for next time.

2.10. Monitor and review

  • For this section you will need to provide a detailed description of how you will monitor and review this plan into the future.

2.11. Underperformance and recommendations

  • You have to pretend that a least two things didn't go quite to plan. Describe these two areas of underperformance and provide your recommendations to rectify.

2.12. Variations

  • Describe one area that did not go to the original plan and how you negotiated a variation so your plan could continue to go ahead.

2.13. Systems for recording performance

  • Describe what records you kept and systems you put in place to document performance.

2.14. Budget

  • Include the budgeted figures and 'actual' figures
  • Analyse your figures and explain in 1-2 paragraph how the plan went in terms of productivity and profitability
