In Service Part I Proposal

To improve efficiency, and help manage the day better I would like to tackle patient scheduling problems. Scheduling issues affect the entire office, not just the employee responsible for scheduling appointments or the physician. I already identify the trends and cause of the scheduling problems by looking over two weeks of data. Our physicians are being overbooked, due to emergency appointments, and complicated new patient appointments. This causing delays, inefficiency, and frustration. Patients wait sometimes an hour for a 15 minutes appointment - either in the waiting area or an exam room, where time seems to move in slow motion.

The timeline and pre-anticipation problems include lack of employees support and lack of time needed to retrain the employees.

What I plan to do is create a new schedule template for the physicians in EIDX scheduling program, where I will have specific time slots for new patients, and those slots can be double-booked with established patients emergency appointments. While the new patient is completing any required paperwork the physician is able to see the emergency appointment. By doing this it should only cause fifteen minutes delayed, which is a reasonable time for a patient to wait. I will also provide each front desk staff with a paper template, and retrained them one on one on how to schedule appointments in the EIDX scheduling program.

The communication process will involve downwards communication where I will implement a strategy and convey it to the personnel who can make it happen through middle-level managers. However, to save time the personnel who will be doing the changes, I will use direct communication process as will be retraining them on how to schedule appointments. As I'm in charge of managing the providers schedules I don't need any approval from hiring management.
