Assessment Task 2: Health and Safety Information Project

The tasks to be completed are based on the following scenario:

You have been appointed as the manager of a newly created team of office professionals. The organisation that you work for is a medium sized company with three departments - accounts and finance; multimedia, design and production; and business administration. Your new team consists of four staff, employed to take care of the office administration. Your role is Office Manager and it is your responsibility to provide information and training for your staff. 

You have decided to conduct a number of information and training sessions with the new staff with the first one focusing on Work Health and Safety (WHS). To assist with the session, you have decided to develop three information handouts outs which you will provide to and discuss with the staff.  You would also like to consult with your staff to identify further training needs with regard to Work Health and Safety as you believe that this is a key area for training for new staff.

Make handouts as below:

Handout 1: WHS Legislation

The purpose of this handout is to clearly and simply explain important information about legislation.  Your handout should:

a. Explain the purpose of Work Health and Safety legislation, including the function of a WHS Act, WHS regulation and WHS Code of Practice.

b. Provide an overview of WHS legislation including name of Act, regulations and examples of code of practice.

c. Outline key roles and responsibilities under WHS legislation. Include at least 3 references for further sources of useful information.

Handout 2: Identifying hazards and risk control in the office environment

You should briefly explain the process of identifying hazards and risk control and provide 5 common examples of hazards that may occur in an office environment. Choose one of the common hazards that you have identified and include a simple step-by-step procedure for dealing with that hazard (risk control), using diagrams to illustrate each step where possible.Your handout should also address and explain the Hierarchy of Control and how it is to be used in the workplace.

Handout 3:  WHS Consultation

The purpose of this handout is to communicate the ways in which staff members can contribute to work health and safety matters, as well as the importance of providingFeedback on Work Health and Safety. In relation to the scenario as office manager, identify and describe realistic ways in which the office team could contribute to work health and safety issues, as well as how feedback will be given and collected.

Assessment Task 3A: Conduct WHS Information and Training Session

This part of the assessment task requires you to conduct the information and training sessionfor the office administration staff and fill up Appendix A. The session should take about 30 minutes and should include:

  • An introduction - discuss the purpose of the meeting
  • Distribute each of the handouts with staff.
  • Discuss each of the handouts with staff.
  • Seek feedback on the handouts you have presented.
  • Ask staff members about their WHS training requirements.

Before you conduct the meeting you are also required to assess the meeting room for hazards.  You must use the hazard identification checklist included at Appendix A. Your assessor will set up the room such that there will be at least two hazards for identification.  Complete the form that also requires you to include recommended corrective actions as well as future risk control measures.  Hand this checklist to your assessor before you start the meeting. 

Assessment Task 3B: Research and Recommend Training Opportunities

Based on feedback from the meeting, you must identify training opportunities to meet the training needs identified. The training that you identify should be formal training (e.g. a course, workshop, webinar) that is supported by workplace coaching and mentoring. 

Write up a brief report that addresses:

a. Summary of the training needs identified at the meeting.

b. Explore the range of opportunities there are for providing the training to staff e.g. in house training, coaching and mentoring, external training, etc. You should explore at least one external opportunity and construct an email that you might send to an external training provider seeking information about the training. Your email must be written clearly and respectfully. Include a copy of the email as an appendix to the one page report.

c. Your recommended training options.

d. Identify costs associated with the training opportunity.

Imagine that your manager has given approval for your recommended training option/s. Send an email to your team outlining the training that will be provided, including the purpose of the training and associated details such as when, where and duration.

Assessment Task 4A: WHS Case Study 1

David Santos is the Manager of ABC Company and undertakes a monthly WHS review of work areas, using Team Hazard Reports.  David analyses the data and identifies any hazards that are of immediate or foreseeable concern to report to the CEO of the company.  Read the completed Team Hazard Report that has been included and answer the following questions on a separate sheet of paper with the questions clearly marked.

Q1. What dangers are presented by the hazards identified in the Team Hazard Report?

Q2. For each of the hazards, what risk control procedures would you put in place according to the hierarchy of control?

Q3. Why is it important to ensure that hazard reports are promptly actioned?

Q4. You have been allocated some money for WHS training, according to the information written in the Hazard Report from Andrew, what further training can you identify is required?

Q5. The following month, David receives another team report that identifies that while signs have been placed up around the office about effective manual handling procedures, one staff member has been off work for 2 days each week during the last month because of a bad back from lifting.  What should David do?  What kind of changes could David make to existing risk controls to ensure that manual handling injuries are eliminated or drastically reduced? 

Q6. David must also fill out an injury report for the staff member who has hurt her back. As indicated on the team hazard record, the person's name is Debbie (her surname is Smiles).

Q7. Fill out the Register of injuries/illness template provided by your assessor (assessor may give suitable format to students).

Assessment Task 4B: WHS Case Study 2

Q1. Looking at the chart in case study 2 below, which health and safety issue do you consider the most important to address? Why?

Q2. What risk controls would you change or put in place in regard to the health and safety issue that you have identified?

Q3. The Manager of the Melbourne office finds out from a staff member that bullying may be contributed to the fairly high levels of stress leave and absenteeism? Why is bullying a health and safety issue? What should the Manager do?
