Assignment

You will assume the role of the owner of a small company that makes bearings for an automotive supplier. Employees have been complaining about the break room which is located next to some very noisy equipment, making it not a very relaxing place for employees to take a break from their work or eat their lunches. In addition, the tables are old, and the tops are delaminating. The plastic chairs are also ancient, and the seats are cracking. In fact, one chair completely collapsed last week sending the employee to the floor. Luckily, he was not hurt, but the furniture definitely needs to be replaced.

Your immediate task is to send an email to employees announcing that the break area is scheduled to be renovated during the week of February 12-16. New soundproofing material will be added to the two walls that are next to the noisy equipment, and all walls and the ceiling will be repainted. In addition, the tile floor will be cleaned by heavy-duty scrubbing equipment and then waxed. Finally, new tables and chairs have been ordered for the break room, as well as two new refrigerators for employee lunches and a new microwave for heating food.

During the week of cleaning and construction, employees will have to take their breaks in the training room, using the tables and chairs currently in that room. Because there will not be a refrigerator during that time, several large coolers with ice will be available for any lunch items needing refrigeration. The pop and snack machines will also be temporarily relocated to the training room to make it convenient for employees.

You are looking forward to the resulting quieter, cleaner, and more comfortable break room and believe employees will be happy to hear this news.

You may invent the city, state, and company name to make the email and the supporting information more relevant. You must analyze your audience, determine common ground (i.e., aspects they will support), and controversies. Your goal is to minimize opposition and maximize support for the renovations by using a positive tone, but the expectation is that employees will be pleased with this news. Date your email as the due date for this assignment.
